Adding attachments in Entourage (sending files in your email)

Step 1

Open Entourage. This is sometimes is in your dock or can normally found in the ‘Microsoft Office’ folder within your ‘Applications’ folder.

Step 2

Click ‘New’ in the toolbar to open a new email window.

Step 3

Type the email address of your recipient and press enter.

Step 4

Click the ‘Paper Clip’ icon in your toolbar

Step 5

This will bring up the ‘Choose Attachment’ window.

‘Special Places’ are listed in the left column, while the two columns on the right are used for choosing and previewing your files. If you prefer a more typical file browser you can toggle between column and list view by using the two small icons directly to the right of the back and forward directional arrows.

Example: I have a picture file on my Desktop I would like to email it.

The first step would be to click ‘Desktop’ from the list of ‘Special Places’ on the left.

Then click the picture file in question

Remember: You may need extra software to attach entire folders to emails. It’s a good habit to only select individual files for emailing.     Step 6

Click ‘Choose’ in the bottom right hand corner.

Repeat steps 4 to 6 to add more than one file to your email.     Step 7

Type a subject for your email and type your email message.

Step 8

Click ‘Send Now’

Notes:

The development of email technology started about 1970. Email was intended to send text. It’s only in the last 10 years it has been retrofitted to attach other types of files. I would not recommend sending emails with over 1 megabyte of data attached.

If you have large attachments your email can run slow. This is normal.

Spyware Scanning Part 1

Run Ad-Aware SE Personal 1.06r1 to remove spyware from your computer

Question

Spyware is such a problem. What do I do?

Most customers will already have Ad-aware installed on their computers. If you don’t, you can download it from http://www.supportedge.com.au/downloads

Step 1

Let’s start by opening Ad-aware. Click ‘Start’, then ‘All Programs’ then ‘Lavasoft Ad-Aware SE Personal’ then ‘Ad-Aware SE Personal’.

Note:Ad-ware may appear in different locations depending on your install. It may also be located on your desktop.

Step 2

If you haven’t run Ad-Aware for a while you will get a notice to check for updates. Click ‘OK’ to proceed. (this step may not be required)

Step 3

Click ‘Connect’ to check for updates. (this step may not be required)

Step 4

When the update check is done click ‘OK’ to install. (this step may not be required)

Step 5

Click the ‘Finish’ button to continue to the main program. (this step may not be required).

Step 6

Select ‘Scan now’, the screen below will appear, make sure the settings match the picture below. Then click ‘Next’.

While scanning your screen should look like this.

Step 7

When scanning is done press ‘Next’ to continue.

Step 8

Right click on the top listing under ‘Target families’, then left click ‘Select All Objects’.

Step 9

Click ‘Ok’ and your all done. You can close Ad-Aware now.

Notes

The most important thing with security is Automatic Updates must be enabled in Windows.

Depending on your internet use, you should scan once a week if your a heavy user or once a month if your a light user.

Check your email on multiple computers (Tutorial for Microsoft Outlook)

Question

I have setup my email account on two different computers. When I check the second computer I can’t receive any of the messages I got on the first computer. Can this be fixed?  

Answer

When you use an email program like Outlook, it contacts your ISP then downloads and deletes any messages on the email server. Buy changing some settings in Outlook we can tell your ISP not to delete your messages within a time frame. In this case 5 days. This gives your second computer a 5 day window to download the messages.

Step 1

Load Outlook

Step 2

In the ‘Tools’ menu click ‘E-mail Account..’, when the email window opens click ‘Next’.

Step 3

In the list of accounts double click your email.

Step 4

Click ‘More Settings …’.

Step 5

Click the ‘Advanced’ tab. Put a tick in ‘Leave a copy of messages on the server’, put a tick in ‘Remove from server after # days’. Change the number of days to 5. Click ‘OK’.

You can set the number of days the message remains on your server to what ever you wish. However the more days you leave your messages on the server the more likelihood of overloading it.

Step 6

Click ‘Next’.

Step 7

Click ‘Finish’

Notes

You will need to do this procedure on both computers, not just the second computer.

Be careful not to reply to the same message twice. You will now get a copy of all new emails on both computers.

Change your computer regional settings to correct date and time problems

Question

I just purchased a new computer and it’s displaying date and time in the American format. How do I fix this?  

Step 1

Open your control panel.

Step 2

If your Control Panel has ‘Pick a category’ at the top click ‘Switch to Classic Vew’ on your left. Otherwise go stright to step 3.

Step 3

Double click ‘Regional and Language Options’

Step 4

On the first screen select ‘English (Australia)’ from the top drop down menu and ‘Australia’ from the bottom menu. Now click the ‘Languages’ tab, then ‘Details’ button.       Step 5

Click the ‘Add’ button.

Step 6

Select ‘English Australia’ for the drop down menu. Click ok.

Step 7

Click ‘OK’ to set the changes on the Properties screen, then click ‘Close’ to close the Internet Accounts screen.     Notes

If you have more than one account in your list of mail accounts you need to repeat steps 4, 5, and 6 for each account.

Don’t forget to change it back when you get home.

Change outgoing mail server in Outlook Express

Step 1

Load Outlook Express

 

Step 2

In the ‘Tools’ menu click ‘Accounts..’

 

Step 3

Click the ‘Mail’ tab

 

Step 4

Double click the first account in the list of accounts.

 

Step 5

Click the ‘Servers’ tab.

 

Step 6

Clear the ‘Outgoing mail (SMTP)’ and replace it with the mail server details of your current location.

 

Step 7

Click ‘OK’ to set the changes on the Properties screen, then click ‘Close’ to close the Internet Accounts screen.

 

Notes

If you have more than one account in your list of mail accounts you need to repeat steps 4, 5, and 6 for each account.

Don’t forget to change it back when you get home.
